This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you use our field service management platform, including our website, web applications, mobile applications, and all related services (collectively, the "Service").

1.3 Information from Third Parties

- QuickBooks Online: Invoice and payment sync data when you connect your QuickBooks account
2. How We Use Your Information
We use the information we collect for the following purposes:
- Provide the Service: Operate the platform, process jobs, manage routes, generate invoices, and enable crew tracking
- Authentication and Security: Verify your identity, manage account access, enforce role-based permissions, and prevent unauthorized access
- Communications: Send operational notifications (job updates, weather alerts, billing reminders), respond to support requests, and deliver account-related messages
- SMS Notifications: Send text messages for job alerts, crew dispatching, customer notifications, and account security (e.g., phone verification codes)
- Billing and Payments: Process subscription payments, generate invoices, and manage your account billing
- Improvements: Analyze usage patterns to improve features, fix bugs, and enhance the user experience
- Legal Compliance: Comply with applicable laws, respond to legal requests, and enforce our Terms of Service
3. GPS and Location Data
The Snow2Mow field application collects GPS location data from crew members' devices when they are clocked in and actively using the app. This data is used for:
- Real-time crew tracking on the business dashboard
- Job completion verification (location at time of service)
- Route optimization and distance calculations
- Pre-inspection and post-inspection records
- Safety and emergency response
Important: Location tracking is controlled by the business (Tenant) administrator. As an employee using the field app, your employer has enabled location tracking as part of their business operations. Location data is only collected while you are actively clocked in through the app. You can disable location services on your device at any time, though this may limit certain app features.
Location data is stored within the Tenant's isolated data environment and is accessible only to authorized administrators within that business.
4. SMS and Text Messages
By providing your phone number and consenting to SMS communications, you agree to receive text messages from Snow2Mow and from businesses using our platform. These messages may include:
- Phone verification codes for account login
- Job assignment and schedule notifications
- Weather and operational alerts
- Invoice and payment reminders
- Account security alerts
Message frequency varies based on your account activity and role. Message and data rates may apply. You can opt out of non-essential SMS at any time by adjusting your notification preferences in your account settings or by replying STOP to any message.
5. How We Share Your Information
We do not sell your personal information. We may share information in the following limited circumstances:
5.1 Within Your Tenant
Information is shared among authorized users within the same business (Tenant) account as necessary for business operations. For example, a business owner can view employee clock-in times and GPS data, and customers can view their own invoices and service history.
5.2 Service Providers
We use trusted third-party services to operate the platform:
- Google Cloud / Firebase: Hosting, database, authentication, file storage, and cloud functions
- Google Maps Platform: Mapping, geocoding, and route directions
- Stripe: Payment processing for subscriptions and customer payments
- Twilio / SMS Providers: Text message delivery
- Intuit QuickBooks: Accounting sync (only when connected by the business)
These providers process data only as necessary to perform their services and are bound by their own privacy policies and data protection obligations.
5.3 Legal Requirements
We may disclose information if required by law, regulation, legal process, or governmental request, or when we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
5.4 Business Transfers
In the event of a merger, acquisition, or sale of assets, your information may be transferred to the acquiring entity. We will notify you of any such change via email or prominent notice on the Service.
6. Data Retention
- Active accounts: We retain your data for as long as your account is active and as needed to provide the Service.
- Closed accounts: After account termination, we retain data for 30 days to allow for data export. After this period, Tenant data is permanently deleted.
- Backups: Encrypted backups may retain data for up to 90 days after deletion from production systems.
- Legal obligations: We may retain certain data longer if required for legal, tax, or audit purposes.
- Activity logs: Operational activity logs are automatically cleaned up after 90 days.
7. Data Security
We implement and maintain reasonable security measures to protect your information, including:
- Encryption of data in transit (TLS/SSL) and at rest
- Multi-tenant data isolation with tenant-scoped database architecture
- Role-based access controls limiting data visibility by user role
- Authentication via Firebase Auth with support for email/password and phone (SMS) sign-in
- Automatic session timeout after inactivity
- Audit logging of administrative actions

8. Cookies and Local Storage
We use browser cookies and localStorage for the following purposes:

We do not use third-party advertising or analytics cookies. You can clear cookies and local storage at any time through your browser settings, though this will require you to log in again.

Depending on your location, you may have the following rights regarding your personal information:

- Deletion: Request deletion of your personal data, subject to legal retention requirements

The Service is hosted in the United States using Google Cloud infrastructure. If you are accessing the Service from outside the United States, your data will be transferred to and processed in the United States. By using the Service, you consent to this transfer. We rely on industry-standard safeguards to protect data transferred internationally.
12. California Privacy Rights (CCPA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):
- The right to know what personal information we collect, use, and disclose
- The right to request deletion of your personal information
- The right to opt out of the sale of your personal information (we do not sell personal information)
- The right to non-discrimination for exercising your privacy rights
